Getting started
Sign in and start planning
Tasklist.uk uses Google Sign-In — no password to remember. Once authenticated, your tasks, projects, wellbeing data and settings are restored automatically.
1
Open Tasklist.uk
Visit app.tasklist.uk and wait for the login screen.
2
Sign in with Google
Click Continue with Google — no account setup required.
3
Your workspace loads
Tasks, projects, wellbeing and settings are restored to where you left off.
4
Create your first task
Add a title, priority, due date and subtasks. Assign it to a project if needed.
5
Pick your frog
Mark your most important task as today's frog. It'll be pinned at the top of your board.
Tip: Start every session by choosing one frog task. A single clear priority makes the rest of your day easier to navigate.
Guest mode
Try it instantly, no account needed
Not ready to sign in? Choose "Continue without an account" on the login screen and you're straight into a fully working board. Everything runs locally on that device — a short confirmation step explains this upfront, since clearing your browser or switching devices means losing that data.
✅
Fully working
Board, Calendar, Notes, Bookmarks, Wellbeing check-ins, Analytics, Daily, Focus Mode, Search and Import/Export all work exactly the same as signed in.
🗑️
Real local Bin
Deleting something as a guest is genuinely recoverable for 24 hours, the same as a signed-in account — just running entirely on your device.
🔒
Honest locks, not silent failures
AI features, recurring tasks, Brands, sharing, Teams, and Levels & Rewards need an account and inherently can't run locally — each shows a clear sign-in prompt rather than quietly failing.
📁
One workspace
Guest accounts are limited to a single local workspace. Signing in unlocks creating more.
Worth knowing: signing in later starts a fresh account — it doesn't carry your guest data forward. If you've built up something worth keeping, that's the moment to think about before signing in.
Task management
How tasks work
Tasks are the core unit in Tasklist.uk. Each task holds the details, context, AI plans and feedback you need to get things done.
| Field | Purpose | Example |
| Title | The name of the task | Design new landing page |
| Description | Extra context or notes | Revamp homepage with updated branding |
| Priority | High, Medium or Low | High |
| Status | Where the task sits in the workflow | To Do, In Progress, Done |
| Due date | Deadline — overdue tasks are flagged. Shown in UK format (DD-MM-YYYY) | 20-06-2026 |
| Repeat | Optional recurring schedule — daily/weekly/monthly, with an end condition (signed-in accounts only) | Every 2 weeks on Mon, Wed |
| Subtasks | Break work into smaller steps | Wireframe, copy, publish |
| Happiness rating | How satisfied you were after completing it | 4 stars |
🖱️
Drag and drop
Move tasks between columns on desktop or use the long-press menu on mobile. The Done column always shows your most recently completed task first.
📋
List view
Switch between kanban board and compact list view using the toggle in the filter bar.
🔍
Quick search
Press Ctrl+K to open the search bar and jump to any task instantly.
↩️
Undo / redo
Ctrl+Z and Ctrl+Y give you full undo history for task changes, synced back to your account.
🔁
Repeat schedules
Set a task to repeat daily, weekly or monthly, with a day-of-week picker for weekly and a choice of never / on a date / after N times to end it. Signed-in accounts only.
Eat the frog
Your daily priority system
The Frog Task is your single most important task of the day. Mark it as your frog and it gets pinned at the top of the board with green styling, a frog icon and priority labelling — so it's impossible to ignore.
🎯
One clear focus
Marking a task as the frog removes uncertainty about what to do first. You start every session knowing exactly where to begin.
✅
Beat procrastination
The method encourages you to tackle your hardest or most valuable work before smaller distractions. Everything else gets easier once the frog is done.
"If it's your job to eat a frog, it's best to do it first thing in the morning." — Mark Twain
Daily
What today actually looks like
A focused, single-page view — deliberately shows less at once rather than trying to be a second copy of the Board. Your frog task sits front and centre in the exact same banner used on the Board itself, not a re-styled lookalike.
🐸
Your frog, front and centre
Same banner, same pulsing glow, same Focus → shortcut as the Board's own frog banner.
✅
Rest of today
Everything else due today or overdue, with a one-tap circle to mark done right from the list.
📅
This week, tucked away
Collapsed behind a "show more" toggle by default, so it doesn't compete for attention with what actually needs doing right now.
AI breakdown
Turn any task into an action plan
Click Break it down on any task card and the AI returns a structured plan in seconds — a plain-English summary, numbered steps you can tick off, and a warning about the most likely thing to go wrong.
AI response format
SUMMARY
A short explanation of what the task involves and why it matters.
STEPS
1. First clear action
2. Second clear action
3. Third clear action
WATCH OUT
One likely blocker or risk to avoid.
✨
Task breakdown
Send task details to Groq — get a summary, 4–8 steps and one warning back in seconds.
📆
Due-date suggestion
Not sure when something's due? The AI suggests a sensible date based on the task's title, description and priority.
📝
End-of-day recap
A no-writing-required summary of what you completed today, plus a prompt to pick tomorrow's frog — appears automatically at your work end time.
Projects
Organise tasks by outcome
Projects group related tasks together, making Tasklist.uk suitable for any workstream — website launches, campaigns, product builds, fitness goals or personal admin.
📁
Project assignment
Link any task to a project to make filtering and understanding your workload easier.
🎨
Colour labels
Each project gets a colour. Labels appear on task cards so context is visible at a glance.
🔽
Filter by project
Click a project pill in the filter bar to show only tasks belonging to that project.
Workspaces
Separate work from personal
Workspaces give you completely isolated environments within one account. Tasks and projects are scoped per workspace and switching is instant from the workspace pill on the Board tab — Notes and Bookmarks are shared across every workspace, with an optional tag available purely for filtering.
🏠
Personal
Created automatically on first login. For personal goals, habits and life admin.
💼
Work
A dedicated space for professional tasks and projects, isolated from personal data.
✨
Custom spaces
Create as many workspaces as you need with a custom name, emoji and colour.
🔄
Instant switching
Tap the workspace pill in the greeting banner at the top of the Board tab. Data reloads for the selected space immediately.
Collaboration Board
Plan and assign work as a team
Every team gets its own shared Collaboration Board — a Kanban board separate from your personal workspace where any member can create tasks and assign them to teammates. Open it from the Collaborate tab.
🗂️
Shared To Do / In Progress / Done
One board per team with the same three-column workflow as your personal board, visible to every member.
🙋
Assign to anyone
When creating or editing a task, pick any teammate from the Assign To dropdown — or leave it unassigned for anyone to pick up.
🔔
Assignment notifications
Assigning or reassigning a task to someone sends them a notification, which appears live in the bell menu within 30 seconds.
🔀
Multiple teams
If you belong to more than one team, a team switcher at the top of the Collaboration Board lets you jump between each team's board.
📊
Team Analytics (admins only)
Team admins get an Analytics dashboard for each team: headline stats (total, completed, in progress, overdue, completion rate and average time-to-done), a bar chart of tasks completed per member, an eight-week throughput trend, a status split, and a per-member breakdown table. Average completion time is measured from task creation to completion, so tasks completed before this was introduced show "—".
Bookmarks
Save and organise links
Paste any URL into the bookmarks tab and Tasklist.uk automatically fetches the page title, description and preview image. Bookmarks appear in every workspace — an optional workspace tag is available purely for filtering and sorting.
⚡
Smart fetch
Paste a URL and the app fetches the title, description and image automatically.
🏷️
Star and read
Star important bookmarks and mark items as read to keep your collection organised.
📂
Collections
Group bookmarks into collections — Tools, Reading, Reference and more.
✏️
Edit anytime
Update title, description, collection and tags on any saved bookmark.
Notes
Write down anything worth keeping
A full-page rich-text editor for meeting notes, ideas and daily write-ups. Like Bookmarks, Notes are shared across every workspace, with an optional tag for filtering.
✍️
Rich formatting
Bold, italic, underline, headings, bullet and numbered lists, links, images and tables.
🖼️
Paste images & tables
Paste an image directly into a note and resize it, or build a table right in the editor.
📌
Pin & search
Pin important notes to the top, and search across every note's title and content.
🗓️
Custom date
Each note carries a date you can set yourself — handy for backdating a meeting write-up.
Brands
Keep every brand's identity in one place
A lightweight brand-kit tool built right into your task manager — fonts, colours, logo and reference files for every brand you work with. Signed-in accounts only, since it stores real uploaded files.
🔤
Any font
Free-text, not a locked dropdown — real brand guidelines often use paid or custom fonts. Free Google Fonts preview live; anything else still saves correctly.
🎨
Colour palette
Add as many swatches as you need, each with a hex value and a label — Primary, Secondary, Accent.
🖼️
Logo & files
One dedicated logo slot, plus a shelf for up to 8 other files — brand guidelines, alternate logo variants. 2MB per file.
Every saved brand gets its own quick-access entry in the sidebar, and deleting one moves it to the Bin like everything else — logo and files come back too if you restore it.
Calendar
See your tasks in time
The calendar view maps tasks with due dates onto a monthly grid. Spot upcoming deadlines, see busy periods and plan your workload across the month at a glance.
📅
Monthly view
All tasks with due dates appear on their deadline day across a full calendar grid.
🚨
Overdue alerts
Tasks past their due date are visually flagged in red so nothing slips through unnoticed.
Wellbeing
Daily check-ins and personal trends
Tasklist.uk tracks wellbeing alongside work. Daily check-ins take under a minute and reveal how productivity connects with your mood, energy, stress and sleep over time.
💆
Daily check-in
Rate each wellbeing metric from 1 to 5 and add an optional note. Appears automatically each morning.
📈
14-day trend charts
Rolling charts for mood, energy and happiness help you see patterns and correlations over time.
⭐
Task happiness ratings
Rate how satisfying a task was when you complete it. Creates a link between output and wellbeing.
📊
Pattern awareness
Surface correlations between wellbeing scores and task completion rates across days and weeks.
Analytics
Understand your performance
The analytics view turns your task and wellbeing data into useful indicators — completion rates, productivity by day of week, on-time rates and satisfaction trends.
Levels & Rewards
Progress that feels like progress
A light gamification layer that rewards consistent progress. Completing tasks earns XP, which raises your level — up to 50 — with a daily soft cap to keep it healthy.
⭐
XP & levels
Earn XP for every completed task. Frog tasks, subtasks and streaks all boost the amount earned.
🔥
Streaks
Completing work on consecutive days builds a streak, which increases your XP bonus.
🎨
Accent Themes
Unlock colour themes as you level up — Sunset at 7, Ocean at 18, Royal at 30, Inferno at 45 — and equip whichever you like.
👑
Prestige
Reach level 50 and you can prestige: your level resets to 1, but total XP, streak and unlocked rewards are kept, and your prestige count goes up.
🏆
Scoreboard
A leaderboard ranks users by prestige, then level, then XP — showing name, avatar and level. Email addresses are never shown.
📈
XP detail page
A dedicated page shows your level, streaks, a 14-day XP chart, tier milestones and recent XP events.
Share board
Share your board publicly
Generate a read-only link to your task board from Settings. Choose which workspace to share or share everything at once — viewers see workspace tabs if multiple are shared.
🌐
Public link
A shareable URL showing a clean read-only view. No login required for viewers.
🗂️
Workspace filter
Share a specific workspace or all at once — viewers get tabs to switch between them.
👀
View only
Viewers cannot edit, delete or create tasks. The board is read-only.
🔒
Revokable
Revoke the share link at any time from Settings. The old URL stops working immediately.
Bin
Deleted doesn't mean gone
Tasks, notes, bookmarks and brands you delete move to the Bin rather than disappearing immediately. Each item shows a countdown to when it'll be gone for good, with a one-tap Restore button.
⏱️
24-hour window
Deleted items are recoverable for 24 hours, then permanently purged automatically.
🧹
Empty it early
Don't want to wait? Empty the bin immediately from the Bin page.
👤
Works for guests too
Guest accounts get the same 24-hour recoverable Bin, running entirely on your device instead of the server.

How your data is stored
Tasklist.uk uses persistent storage for each section of the app. When signed in, all data is securely associated with your Google account and synced across devices. In guest mode, the same sections are stored locally in your browser instead — see Guest mode above.

FAQ
Frequently asked questions
What makes Tasklist.uk different from a normal to-do list?
Tasklist.uk combines task management with AI planning, wellbeing tracking and analytics. It helps you understand both what you need to do and how you perform over time — not just a list of things to tick off.
How does the AI breakdown feature work?
The app sends your task title, description, priority, due date and subtasks to the Groq AI. It returns a plain-English summary, 4–8 numbered steps you can check off and one warning about the most likely blocker.
What is a frog task?
Your frog task is the single most important thing you need to do today. It's visually highlighted at the top of your board and should be tackled before anything else — based on Brian Tracy's Eat the Frog productivity method.
What wellbeing data is tracked?
You can track mood, happiness, energy, stress and sleep using a 1–5 rating system in the daily check-in. Optional notes can be added. Trends are charted over 14 days.
What are workspaces?
Workspaces let you separate different areas of your life — Personal and Work are created by default. Tasks, projects and bookmarks are fully isolated per workspace. Switch between them instantly from the workspace pill on the Board tab.
How do I assign a task to a teammate?
Join or create a team, then open the Collaborate tab to access your team's Collaboration Board. Create a task there and pick a teammate from the Assign To dropdown — they'll get a notification and the task appears on the shared board for everyone to see.
Can I share my board with others?
Yes — generate a read-only link from Settings. Choose to share a specific workspace or all workspaces at once. Viewers see a clean board without being able to edit anything. Revoke the link at any time.
Is Tasklist.uk free?
Yes. Tasklist.uk is completely free to use with no subscription required. Sign in with Google and get started immediately.
Is it mobile friendly?
Yes. The interface is fully responsive with a bottom navigation bar on mobile, safe-area spacing for iOS, and a long-press menu to move tasks between columns without drag and drop. The bottom nav covers Board, Calendar, Collaborate (when you're on a team) and Teams, with a More menu for Wellbeing, Stats, Saved and Settings.
Do I need an account to use Tasklist.uk?
No. Choose "Continue without an account" on the login screen for a fully working local-only experience — see Guest mode above for exactly what works and what needs a sign-in.
Can I store fonts, colours and logos for my brands?
Yes — the Brands tab keeps a fonts, colour palette, logo and reference files for each brand you work with, all in one place. Requires a signed-in account.
